Buying a Mimaki Printer? Run This 6-Step Cost Checklist First

I'm a procurement manager at a 40-person print and sign shop. I've managed our equipment budget — roughly $180,000 a year, sometimes more — for the past six years. I've negotiated with 30+ vendors and tracked every invoice, add-on, and surprise fee in our cost system.

If you're planning to buy a Mimaki UV flatbed printer, a Mimaki dye sublimation printer, or a dedicated DTF line, this checklist is for you. It takes about 20 minutes to work through, and it's saved us more money than any single discount I've ever negotiated (and I've negotiated a few).

The machine price is the smallest number in the equation. The real costs hide in consumables, installation, training, and downtime. This checklist is how you find them before you sign — not after. Six steps, each designed to catch a specific kind of hidden cost.

Step 1: Spec Your Workflow Before You Spec the Machine

Most buyers do this backwards. They look at print speeds and resolution first, then try to force their work onto whatever machine caught their eye. Move the other way.

Write down every job type you expect to produce in the next 12 months. For us, that meant:

  • Rigid panels and display boards (UV flatbed territory)
  • Soft signage and fabric banners (dye sub territory)
  • Short-run garment transfers (DTF territory)

It's tempting to think one machine covers all three. Sometimes it does. But a UV flatbed isn't the ideal tool for soft signage at scale, and a roll-to-roll dye sub won't give you rigid substrate capability. The "one printer for everything" advice ignores how each technology handles different materials — and that nuance shows up in your cost per finished piece.

Don't get lost in DPI numbers either. The benchmark is simple: 300 DPI at final size for close-viewing work; 150 DPI is acceptable for large-format pieces viewed from a distance. If a machine can't hit those numbers for your typical job, the rest of the spec sheet doesn't matter.

One more thing on color. For brand-critical work, the industry standard tolerance is Delta E of 2 or less from the Pantone-specified color.

If you're quoting corporate clients, your printer, RIP, and ICC profile setup need to deliver that. Budget for the profiling work.

Checkpoint: If you can't list your top five job types on one page, the spec sheet will just be noise.

Step 2: Calculate TCO, Not Sticker Price

Total cost of ownership — i.e., the real cost over the machine's life, not the invoice amount. This is the step I see most shops skip, and it's the step that's burned us the most.

In 2023, I compared two quotes for a Mimaki UV flatbed printer. Vendor A quoted $48,000. Vendor B quoted $44,500. I almost went with B until I did the TCO math:

Vendor B's quote didn't include:

  • $3,200 for delivery and rigging
  • $2,800 for installation and calibration
  • $2,200 for operator training

Total with B: $52,700. Vendor A's $48,000 included delivery, installation, and two days of on-site training. That's a $4,700 difference hidden in the fine print. Roughly 10% of the machine cost.

From my experience auditing six years of purchases: the lowest quote has cost us more in about 60% of cases. When a quote looks cheap, I look for what's missing.

Checkpoint: Ask every vendor for a line-item breakdown of delivery, installation, training, and first-year maintenance. If they won't itemize, that's a red flag.

Step 3: Price the Consumables Before the Machine

This is where the real money lives.

A dtf printer 13 inch might have an approachable entry price, but the per-print cost depends on ink coverage, adhesive powder, and film quality. We track our DTF material cost at about $0.55 per square foot including ink and film — and that's with bulk film pricing. Buy retail film and starter ink, and that number climbs fast.

Same discipline for dye sub. A Mimaki dye sublimation printer uses transfer paper and ink, and the paper weight changes your cost per print. Standard dye sub transfer paper runs roughly 90–120 gsm depending on ink load and fabric type. Heavier paper costs more but resists wrinkling at higher ink loads. Don't just buy "sublimation paper"; spec the gsm for your typical job.

And for a sublimation printer set — machine, ink, paper, and heat press bundled together — check what's actually in the box. I've seen bundles that sound complete until you find the ink is a starter set (half-filled cartridges) and the paper is a demo roll. The machine is the cheap part. The consumables are the subscription you didn't sign up for.

When we evaluate a UV flatbed, I also budget for UV lamp replacement. Lamps don't last forever, and the replacement cost goes in the TCO spreadsheet. Forget that, and it becomes someone else's problem one year in.

Checkpoint: Calculate cost per square foot or per transfer using the vendor's consumable prices — not the machine's ink capacity.

Step 4: Check Installation Site Requirements Before Signing

The outsider blindspot: most buyers focus on machine specs and completely miss the installation requirements.

Our UV flatbed needed 3-phase power, a compressed air line at a specific CFM, and a floor load rating we barely met. The electrical work alone was $6,200. Not budgeted. Not pleasant.

Before you commit, get written answers to these:

  • Does it need 3-phase power? What amperage?
  • Does it need compressed air? What PSI and CFM?
  • Are there ventilation or exhaust requirements?
  • What are the clearance requirements for loading material?
  • What's the floor weight distribution?

Now every purchase request we approve has a site survey report attached. A few hundred dollars for an electrician to answer these questions beats a $6,200 surprise after delivery.

Checkpoint: Get the vendor's site prep list in writing, then get an independent electrician to quote it before you sign.

Step 5: Factor In Training Time and First-Week Downtime

The question everyone asks is "what's the throughput?" The question they should ask is: "how long until my operators produce sellable output?"

Plan for a week of training and a week of reduced production. On our dye sub line, the first two weeks produced exactly one client-approved job. The rest was test prints, calibration, and an operator learning the tension settings (ugh).

If the vendor can't give you a training schedule with specific dates and skill outcomes, that's a risk. "We'll send someone when available" means your operator will learn by trial, and raw material isn't cheap.

Checkpoint: Ask for training with completion criteria — what skills will the operator have by day five? Get it in writing.

Step 6: Get the Warranty Exclusions in Writing

This one comes from a personal failure, so pay attention.

I knew I should ask for written confirmation on warranty coverage. But I thought, "it's a reputable brand. What are the odds?" Well, the odds caught up with me. A printhead issue was classified as "normal wear" in the fine print. Not covered. $1,200 gone.

Before you sign:

  • Get a list of every warranty exclusion in writing
  • Ask how consumables (printheads, UV lamps, filters) are handled in year one
  • Ask what response time the support agreement guarantees — hours, business days, or "when a technician is available"
  • Ask how long the manufacturer will support the model you're buying

A written exclusion list feels like a downer at the end of a sales pitch. Ask for it anyway. It tells you exactly what the vendor expects to go wrong. That's valuable information.

Checkpoint: If you can't name three things NOT covered by the warranty, you haven't asked the right questions.

Common Mistakes That Turn a Deal Into a Budget Overrun

These come from six years of procurement reviews — mostly other shops, honestly, some from ours:

  • Comparing sticker prices only. The lowest quote in one 2023 review was $4,700 more expensive once installation and training hit the spreadsheet. Every time.
  • Ignoring consumables. Lots of buyers search for "dtf tranfer printer" — missing the 's' in transfer — and pick the cheapest machine on the results page. But two DTF printers with the same ink system can produce wildly different per-print costs depending on film and adhesive powder quality. The machine is the least of it.
  • Forgetting site prep. We assumed it "plugs into the wall." It didn't. $6,200.
  • Assuming support is free. First-year support is sometimes bundled. Sometimes it's phone-only. Read the agreement, not the sales summary.

Skipping any of these steps because "it'll probably be fine" is the overconfidence tax. I've paid it once. I don't recommend it.

The expensive machine isn't the one with the highest sticker price. It's the one whose hidden costs you didn't plan for. Run the checklist. Your budget will thank you.
